Privacy policy

The present policy sets out the practices of the Comité de gestion de la taxe scolaire de Montréal (CGTSIM) regarding the personal information communicated to it by telephone, mail or email, as well as through the use of its website, including through contact forms and the “My Account” platform.

“Personal information” means any information concerning a natural person that is not public under the law and that allows that person to be identified directly or indirectly (for example: name, address, account number).

Protection of personal information

The CGTSIM takes the necessary security measures to ensure the protection and confidentiality of the personal information under its responsibility and, in this regard, acts in accordance with the Act respecting Access to documents held by public bodies and the Protection of personal information. This Act establishes the principles applicable to the collection, use, release, keeping and destruction of personal information, as well as the security measures that must be taken and that are reasonable given the sensitivity of the information, the purposes for which it is to be used, the quantity and distribution of the information and the medium on which it is stored.

Collection

The CGTSIM collects your personal information when you communicate with it by telephone, mail or email or when you use its website, including through contact forms or the “My Account” platform. It may also collect your personal information from a third person in the situations provided for by the Act respecting Access to documents held by public bodies and the Protection of personal information.

The CGTSIM collects only the information necessary for the exercise of its functions, including to communicate with you, process your application for positions it posts, process your request or answer your questions, provide you with services (including the issuing and collection of the school tax on the Island of Montréal and the administration of the Risk Management Plan), confirm your identity, ensure and improve the quality of its services, operate and optimize its website and comply with its legal and regulatory obligations.

Use

The CGTSIM uses your personal information for the purposes indicated at the time of collection. However, it may also use such information for other purposes with your prior consent or without your consent in the particular situations provided for by law.

Only authorized and trained members of the personnel of the CGTSIM (or, where applicable, its mandataries or suppliers) may have access to the personal information necessary for the exercise of their functions and the performance of their duties.

Release

The CGTSIM may release your personal information to third persons with your prior consent or without your consent in the particular situations provided for by law, including to the school service centres and school boards of the Island of Montréal.

If personal information is released outside Québec, the CGTSIM conducts a privacy impact assessment that takes into account the sensitivity of the information, the purposes for which it is to be used, the protection measures that would apply to it and the legal framework applicable in the State in which the information would be released.

Keeping and destruction

The CGTSIM keeps your personal information only for the time necessary to achieve the purposes for which it was collected and in accordance with the document retention schedule it has adopted and that has been approved by Bibliothèque et Archives nationales du Québec (BAnQ). Once the applicable retention periods have expired, the CGTSIM destroys your personal information in a secure and permanent manner.

In addition, to ensure the proper keeping of your personal information, the CGTSIM has implemented several types of security measures against loss, theft and unauthorized access, use or release, including physical measures (personal information not accessible to the public), technological measures and organizational measures (see the subsection below).

Your rights

At any time, you may withdraw your consent to the use, release and keeping of your personal information by contacting the Access to Information and Protection of Personal Information Officer of the CGTSIM. However, the request, question or service concerned may then no longer be processed or provided. The CGTSIM may also be unable to grant your request, particularly where the processing of your personal information is required by law.

Likewise, except in certain cases, you may request access to your personal information from the person responsible, request that it be updated or request that it be corrected if it is inaccurate, incomplete or equivocal. To do so, please complete and submit the Request for personal information or Request for correction form.

Finally, you may file a complaint with the Access to Information Officer of the CGTSIM if you believe that the management of your personal information is not in compliance with this policy or the law, in accordance with the CGTSIM’s governance rules regarding personal information (see the Politique sur la protection des renseignements personnels and the Politique sur la sécurité de l’information, available in French only).

Cookies and audience measurement tools

The CGTSIM uses cookies and other similar technologies on its website to facilitate navigation, measure website use and ultimately improve your experience.

Cookies are small files stored on the device used when consulting the website. Certain cookies are essential to the operation of the website, while others are used for statistical or performance purposes.

  • Essential cookies are used to organize and display the pages of the CGTSIM website optimally while taking your preferences into account. These cookies contribute to making the website usable and secure and are mandatory.

The CGTSIM also uses audience measurement tools, including Google Analytics, in order to obtain information regarding the use and performance of its website. The information collected does not allow a person to be identified without that person’s consent. The audience measurement tools notably collect information such as the pages consulted (including the date and time of visits, their duration and frequency and the links selected), the source from which you were redirected to the CGTSIM website, your type and model of device, your operating system, the type, language and version of your browser, the name of your Internet service provider and your geographic region. Your IP address may also be recorded; however, it is subject to an anonymization process in order to protect your personal information.

Please note that certain information may be hosted on servers located outside Québec. In such a case (and as mentioned previously), the CGTSIM conducts a privacy impact assessment that takes into account the sensitivity of the information, the purposes for which it is to be used, the protection measures that would apply to it and the legal framework applicable in the State in which the information would be released.

Awareness and training

The CGTSIM is committed to promoting awareness and providing training to its personnel regarding the protection of personal information and information security in order to ensure the rigorous management of the personal information under its responsibility and maintain a secure digital environment.

The CGTSIM website may contain hyperlinks to external websites operated by third parties. The CGTSIM is not responsible for the content of those websites or for the practices applied on them with respect to the protection of personal information.
